Converting Supplemental Sheets to Reference Sheets

    1. The first thing to do is print out the Supplemental Summary report which will show you all of the supplemental sheets and if they are continued onto other supplemental sheets.

    2. Bring each Supplemental sheet up in the text editor. To write them to a text file.

      - Press ESC to get the Command prompt
      - Type in: WRITE filename.REF (enter)
      - Press ESC and exit the supplemental sheet.


    Note - the file name can be up to eight characters long, it cannot contain spaces, periods or any special character except an underscore. Computers view those as special characters and you can get inconsistent results using them. The extension must be ref for OOPS! to recognize it as a reference file.

    This will take all the text and write it to a text file under your OOPS! directory. It can be one page or several pages.

    To view reference files or attach them to schedule records.

      A. From the Data files/Supplemental Sheet ID field

        - Type in: R:
        - Press F1
        - This will give you a list of the reference files
        - Position the cursor on the one you want to view, press enter
        - Press enter on the ID
        - The word wrap question will appear, type in 60, press enter
        - The text editor will come up with the document. It is the same text editor as the supplemental sheets and uses the same commands

      B. From the Schedule Master File

        - At the Supp. Sheet ID fields or the history field, type in: R:
        - Press F1
        - Position the cursor on the one you want to view, press enter
        - Press F1 to view the file
        - The word wrap question will appear, type in 60, press enter
        - The text editor will come up with the document. It is the same text editor as the supplemental sheets and uses the same commands

      The only difference between supplemental sheets and reference files.

      Supplemental sheets are only one page and stored in a data file. Reference sheets can be several pages, are separate text files and are viewed by putting R: in front of the ID name.

Merging Several reference sheets into one reference sheet

    A. Using a DOS copy command

      - At the OOPS! prompt, type in:

        Copy filname1.ref + filname2.ref newfile.ref
        This copies the first and second file into the new file.
        You can refer to a DOS manual for the command sequence

    B. In OOPS!

      - Bring up the reference sheet in the text editor
      - Position your cursor where you want to insert the file
      - Press ESC to get a Command prompt
      - Type in: INSERT filename.ref (enter)
      It will insert the file, save it using the stop command

Example

If you have a supplemental sheet template that you want to come up in the history field so it can be changed.

    1. Bring up the supplemental sheet, ie. 2050
    2. Press ESC and write it a reference file with this command:

      WRITE 2050HIS.REF (press enter)
      It has now created an identical file with the name 2050HIS.REF

    3. Exit the supplemental sheets
    4. Go to the History Supp ID field in schedule
    5. Type in R: and press F1
    6. Highlight 2050HIS.REF (press enter)
    7. It will fill in the field and the reference sheet will be accessible by using the F1 lookup.

Note. When you copy the supplemental sheet template, it will only put one copy of the checklist in the reference file. You probably want to bring up the reference file and copy the information in the file. If the history reference sheet is going to report on 12 months of checklists, copy the text 12 times. Naming each checklist by month. So, one reference file has a checklist in it for each month.

    Example of 2010HIS.REF

      January checklist

        ___ Check oil
        ___ Check brakes
        ___ Check gears

      February checklist

        ___ Check oil
        ___ Check brakes
        ___ Check gears

To copy in a reference sheet.

    - Using a mouse, position it at the beginning of the area
    - Hold the left mouse button down and highlight the area to be copied
    - Release the left mouse button, then position the cursor where you want the copied information to appear.
    - Press ESC to get the Command prompt
    - Type in COPY BLOCK

    This will copy the highlighted area for you

    (Help is available in the text editor by press Ctrl L at the editor screen. For command line help, press Escape to get a Command Prompt and then press Ctrl L).

    You can use any word processor to access the reference files. If you are comfortable using Word Perfect or Works use them to make the changes. When you save the file, remember to save it in the OOPS! directory as an ASCII file.
