Credit/Debit Transaction Reporting
Make your accountants happy! Oz now contains automatic summary and detail accounting of receipts for items purchased.
In general, the Parts file contains fields for Credit and Debit Accounts. When you purchase the parts, these fields are carried over automatically to the Purchase Order detail. When parts are received, the fields are again carried over to the Receipts files. At any stage, the specific accounts may be changed if desired.
The user may obtain detailed reports of these transactions, covering any accounting period, month, quarter or year.
Credit Transactions Report
A similar report can be run to show the Debit Transactions. This information can also be written to a disk file, for uploads to other systems.
Budget Reporting
Management can now obtain an instant snapshot of your Maintenance budget performance. The Equipment file contains, for each piece of Equipment you maintain, values for Budget Labor Hours, Labor Costs, Parts Costs and Tools Costs. As you complete Work Orders, you specify Labor, Parts and Tools used in finishing the task.
Oz tallies these costs and reports them on a pro-rated basis. To see how this works, consider the date June 30. This date is approximately one-half of a year. Thus, to be within budget, you would expect the costs to be one-half of the yearly budget amount.
New Budget reports in Oz calculate the current costs and compare them with the fraction of the yearly cost expected. If the costs exceed this value, the report prints a star ( * ) to indicate potential trouble spots.
Note that several items show a star, indicating that they are over budget.
Enhanced Labor Reports
These new reports count the number of Standard, Overtime and Double-time Labor Hours expended by each employee. They show the details and totals. You can specify arbitrary time periods, such as a week, a month a quarter, etc. The reports count ALL labor hours, from Completed Work Orders as well as Active WOs which have not yet been completed.
Two significant features have been added in Version 1.05
* Billing Markups and Reports
Pareto Trend Analysis
We have all heard the old 80/20 rule, namely that 20% of your Equipment causes 80% of the problems. With this new Pareto Trend Analysis, this rule can be quickly and easily confirmed. You can choose a Control Variable, such as Equipment ID, Job Code, Remarks Code, Supervisor, etc. All completed Work Orders are examined and tabulated according to this Control Variable.
Oz can generate graphs of the following data:
Cost per Work Order Number of Work OrdersDowntime Hours Downtime Cost
Total Cost Labor Hours
Labor Cost Parts Cost
Tools Cost
On this image, the leftmost axis represents the data plotted, the rightmost axis represents the percent value. Blue bars represent the actual value, red bars represent the percent, and yellow bars represent the cumulative percent. Numbers indicate the particular Control Variable shown.
Billing Markups and Reports
For Oz users who perform Maintenance Services for others, we now have the ability to indicate markup factors for Labor, Parts and Tools used in the performance of such work. Several Billing Reports are provided to show billing detail and summary.
This greatly assists the billing and analysis of service work.
